We are a boutique law firm specializing in complex investigations and resolution services for schools and organizations. As a fully remote firm, we operate in a fast-paced, highly collaborative environment where initiative, sound judgment, and flexibility are essential.
Position Overview:
The Executive Assistant will provide comprehensive administrative, operational, and coordination support to the firm’s leadership team, including senior attorneys and the Director of Legal Operations.
This is more than a traditional legal assistant role. The successful candidate will be a trusted partner to leadership, helping ensure that the administrative details that keep the firm running smoothly are handled efficiently and thoughtfully. The ideal candidate is a self-starter, problem solver, and team player who is exceptionally organized and technologically sophisticated. We are looking for someone who can anticipate needs, take ownership, navigate ambiguity, and bring a positive attitude and good sense of humor to a demanding but rewarding environment.
Key Responsibilities:
Provide executive-level administrative and operational support to firm’s leadership team, including senior attorneys and the Director of Legal Operations.
Manage calendars, schedule meetings, coordinate professional and administrative deadlines, and proactively resolve scheduling conflicts.
Prepare meeting materials, agendas, presentations, correspondence, and other documents.
Coordinate travel arrangements, including flights, accommodations, transportation, itineraries, and expense documentation.
Support planning and logistics for conferences, retreats, client events and team meetings, including registrations and conference preparation.
Track CLE requirements and maintain attorney compliance records.
Coordinate multistate attorney licensing renewals, bar registrations, and professional memberships.
Support document management and records-management processes, including auditing of case files and administrative records for completeness, compliance, and retention requirements.
Support office equipment and devices, supplies, and other technology and operational needs for a fully remote organization.
Support Microsoft 365, Outlook, Teams, Word, Excel, PowerPoint, Adobe, document management systems, and other cloud-based platforms.
Coordinate and liaison with firm vendors as needed.
Provide support for the firm’s marketing and business-development activities, including updates to the firm’s website, marketing materials, and social media platforms.
Take ownership of special projects and administrative initiatives that support the firm's growth at the direction of the leadership team.
Exercise sound judgment and discretion regarding confidential communications, documents, calendars, and firm and client information.
Anticipate and proactively address leadership team priorities and outstanding action items and follow up as appropriate.
Provides back-up support to Director of Legal Operations, as needed.
Qualifications:
Bachelor’s degree required.
Experience supporting senior attorneys, executives, or a leadership team strongly preferred.
Experience in a law firm, legal department, government, compliance, investigations, or professional services environment preferred.
Advanced technological proficiency and demonstrated ability to learn new systems quickly.
Strong proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Zoom, and Teams, as well as Adobe and other cloud-based tools.
Experience with legal case management and/or document management systems; iManage experience is a plus.
Ability to troubleshoot routine technology and workflow issues independently and escalate appropriately when needed.
Exceptional organizational, time-management, prioritization, and project-coordination skills.
Excellent written and verbal communication skills, including strong proofreading and editing abilities.
Demonstrated ability to manage multiple competing deadlines while maintaining accuracy.
Ability to work independently with minimal supervision in a fully remote environment.
Demonstrated discretion and ability to handle highly confidential information.

Compensation & Benefits
Pay range: $28/hour. This role is not eligible for benefits, but an office/internet stipend will be provided.
